Document Management Integration

By default, the flag to integrate Change Management and Document Management is hidden and must be enabled by the user in order to use the integration features. Making the Integrate with Document Management policy field visible in change plan policy also displays Document Management related fields at the change plan level.

The following integration functionality is available when Document Management is integrated with Change Management:

The Change Management system provides equivalent functionality as is present in Document Management Change Requests and Change Orders.
The Change Management system supports various document change types, including New, Revise, Expire, and Deviation.
The Change Management system provides the ability to directly perform actions from the action plan by linking to the corresponding activity in Document Management (New, Revise, Expire, and Deviation).
When performing these actions, Change Management supports zooming and selecting documents listed in the Change Plan’s Affected Documents tab as well as all Documents.
The Change Management system provides the ability to set document Effective Date(s) and Expiration Date(s), as follows:
At the Change Plan level, which impacts all documents on the Change Plan
At the Document level, which impacts only that document
The Change Management system supports auto-closing appropriate Change Plans and/or Action Plans when associated documents are updated based on the Effective Date or Expiration Date.
The Change Management system supports performing document reviews/approvals, as follows:
At the Change Plan level, which impacts all documents on the Change Plan (single approval group)
At the Document level, which impacts only that document
Mixed, which forces reviews/approvals at both the Document and Change Plan levels
The Change Management system allows the Effective Date and/or Expiration Date to be modified after reviews/approvals have been completed.
The Change Management system supports checking in a document present in the Change Management system.
When viewing a Document in Document Management, the system shows related (active and historical) Change Management Change Requests and Change Plans.
The Change Management system carries over Affected Items from a Change Request to a Change Plan when the Change Plan is auto-created from the Proposed Change Plans in the Change Request.
